Maintenance Reports

Several libraries have asked for suggestions of reports to run on a regular basis to assist with maintaining their local collections and managing their accounts. Following is a list of reports that some libraries run regularly. If your library system has additional reports that you find you useful, please contact Dawn Dale (ddale@georgialibraries.org) so that the reports can be shared and added to this list.

 

Claims Returned Item Report

Holds

Uncaptured Holds:
To identify holds that patrons have placed but that have not been found on the shelves after a certain length of time, use this Quick Report:
Quick Reports > Quick Report Templates > Holds > Unfilled Holds (Not Captured)

 

Unfilled Holds:
To identify holds that were found for patrons, but that the patrons did not pick up, use this Quick Report:
Quick Reports > Quick Report Templates > Holds > Unfilled Holds (Captured but Not Fulfilled)

 

Expired Holds:
To identify expired holds that are currently on your holds shelf, see: Clear Holds Shelf

 

Inventory

Item Status Report
Get lists of items of a particular status (Missing, In Process, etc.) in order to do shelf checks.

Long Overdue Items

Lost Items Paid For
When a lost item is paid for at a library system other than the owning library system, the money (including processing fee, if any) should be sent to the owning library.

Overdue Items Report
Use to obtain lists of items in a particular shelving location that are overdue by longer than a specified amount of time.

Patrons With Negative Balances
This is not a report, but a built-in function of the staff client that can assist you in identifying accounts that need to be corrected.

Pre-Cats
Pre-cat (pre-cataloged item) records are temporary records used for Interlibrary Loan or to allow checkouts of items that have barcodes but no record in the catalog. Pre-cat records should be used for temporary purposes only and should be corrected (or deleted, in the case of ILL) when the item is returned to the library.

Transit Reports
You can retrieve transit reports through a built-in staff client function or through a report, depending on your needs.
