The Z39.50 Interface: Searching and Importing from OCLC’s WorldCat
If there is no matching record in the PINES database for your title, you will need to import a record into the PINES database from OCLC’s WorldCat database, the sole source of bibliographic records for PINES. Access to WorldCat is via the Z39.50 gateway in Evergreen. Using this resource, you can search WorldCat and import MARC records into PINES.
Interface Basics
Access to the Z39.50 gateway is via the Cataloging menu:

Since you are searching OCLC, you will need to use the authorization and password assigned to your library by OCLC. Under Service and Credentials, check the box for OCLC and input the authorization number as your username and enter the password. Click on Save as Default to retain the login information for subsequent sessions.
After you have saved your OCLC authorization/username and password, you will not need to input it again unless you clear cookies in your browser. Next - fill out the Search Query Form.
Types of Searches
You can search using various terms and identifiers. You can also select a default search parameter. Title control number (after you have searched OCLC) is the most accurate way to search but you can also use other identifiers. If necessary, you can combine search terms (author/title, title/publisher, etc).
Numerical Qualifier Searches
- Title Control Number searches - Search OCLC title control or accession numbers without prefixes or the symbols # or *. For example 11894410 rather than ocm11894410.
- ISBN and ISSN searches - Drop all hyphens or dashes when searching ISBNs (International Standard Book Number). Enter an ISSN (International Standard Serial Number) with a hyphen.
- LCCN searches - LCCNs (Library of Congress Control Numbers) can be searched with or without hyphens. For example “92-50730” or “92050730”.
- UPC, music, and publisher number searches - UPC and music/publisher/distributor numbers (024 and 028 |a) are searchable in the UPC box. Enter numbers for an 028|a search as is. BBC MM112 and B0012026-02 for example. 024 searches should be entered without dashes. 00602537645985 for example.
Title, Author, Publisher, and Publication Date Searches
- Titles - You can search partial or complete titles.
- Publication dates - Publication dates can be searched as a range (1984-1990) or as a single date.
- Author - Note that this field will search for all authorized contributors within to the resource.
You can create combination searches using any of the search queries to refine your search, reducing the number of results retrieved. For example you can search author, title, and publication date. You can also filter searches by item type.
When you have entered your search parameters, click on the Submit button to connect to OCLC and process your search. You can view up to 100 records on a page. When finished, you can select “clear form” to reset and return to the saved defaults in your Search Query form.
Searches Resulting in Multiple Records - View Marc Records
If you have not searched for a specific record, you may find that an author, title etc. search returns a number of results. In order to check that you select the best record for your purposes, you can select several using the check boxes on the left and view the Marc records before you decide which one to import.
Importing OCLC Records from the Z39.50 Interface
Once you have identified a record that matches your item in hand, you are now ready to import the OCLC record into the PINES database. You have the option to select Import, Edit and Import, or Overlay from the Z39.50 interface.
Import
For a simple import without changes, highlight the record using the checkbox on the left. Select Import.

Note that BEST PRACTICE is to edit the record you wish to import in OCLC Connexion before you import but -
If you want to make minor changes to the new record before importing that you cannot make in OCLC because the edits are specific to PINES practices or information, you will select Edit then Import. The Marc editor interface will open and you will be able to make these minor edits to your chosen record before uploading to PINES. The interface will open in the Enhanced Marc Editor but you have the option to work in either the Enhanced or the Flat text Marc editor. Once you have made your changes, you can select the Import button.
Examples of edits you might want to make:
- Removal of FAST (and other) thesaurus terms in the subject headings.
Most 6xx fields contain subject access points based on the thesaurus or subject heading system identified in the 2nd indicator or in subfield $2. PINES does not use the FAST thesaurus terms or several of the other 650 terms. The thesauri that PINES uses are:
650 \0 Library of Congress Subject Headings (LCSH)
650 \1 LC subject headings for children's literature (CYAC)
650 \2 Medical Subject Headings (MeSH)
- Addition of 690 local subject heading for “Georgia authors.”
690 \\ Georgia authors.

Overlay
If you are overlaying an existing record and have marked the record for Overlay Target, you can select Overlay.
